Summary

To begin with, a brief description of major extensions in this version is provided, and afterwards, new functionalities & improvements are thoroughly presented along with the necessary user guidelines and examples.

Periodic VAT Return

The version 4.10.4.3 has been enriched, in order to support the Periodic VAT Return (Declaration 300), through the known process Calculate VAT Data.

Data calculation

ERP-RO01-4.10.4.3-image4.pngThe menu option: Data calculation…\ Calculate VAT data is the calculation process of the specialized statement entries based on the primary data. The process “examines” the factors of each document (e.g. type of the trade account, and of the item, vat rate ect) and assigns in the declaration entry the appropriate tax code.

Document registration

There is no differentiation in the way of the documents registration.

However, it is pointed out that it is possible to identify the tax code in the document, if necessary. When the document includes the tax code as the principal information, this code is given priority and is respected by the calculation process.

In the form “Update VAT data” in document’s header, the user may choose the desirable tax code in the relevant field.

The Tax Code refers to the entire document. However, in some cases (primarily in cases of expenses) it is necessary to allow the assignment of a different Tax Code per Document Line. In these cases, the different Tax Code needs to be defined only on the lines that need to be differentiated.

The “Trade type” field, used for assigning the Tax Code, is available as an extra column on the Document Lines Layout.

Declaration

The declaration form has been formed with 4 tab-pages as follows.

The Basic data includes info related to the declaration period, the number of revisions (assuming that the data of a month have been recalculated), the declaration status, and some notes. ERP-RO01-4.10.4.3-image7.png

This action enable us to add entry in one of the tax codes.

VAT Return file

The process of creation of the VAT Return file is available in the declaration action: Create file.

The action is permitted only for declaration in status “Finalized”.

On the parameter’s form the user may choose the following.

  • Folder. The full path for the saving area of the file.
  • Supervisor info. The details of the person who is responsible for the submission
  • Bank account
  • Activity code

The declaration type has been enriched so to define the type of the numeric fields.

Data preparation

The new view (scroller) Document checklist that participate in VAT Statement (menu: Closing period processes\VAT Tasks) allows us to check the raw data and confirm their integrity and validity, before proceeding with the entry generation process.

This view presents the original documents accounted in the VAT Declaration, based on the applied configuration. Besides the values, the view also includes information per transaction that justifies the way each transaction is accounted under specific taxation cells. Specifically, the following info is included: Transaction category, Trade Account VAT regime, Tax Code and so forth. This way, the accuracy and validity of each record can be checked before the process execution, allowing thus early interventions and effectively supporting error prevention.

Declaration customization

The declaration type has been enriched so to define the type of the numeric fields. The declaration type TVA has been configure accordantly. Insert anew the declaration type from the ESMasterConfig folder or modify the relevant field.

Trade account trial balances on MIS date

Two new trade account reports of trial balance type which can be used for accounting and trade reconciliation on MIS date have been added. Results from accounting on MIS date could already be retrieved on MIS date, but it was not possible for trade. The following two reports can be accessed through the menu “Business Intelligence/ Accounting Reports/ Reports based on MIS date”

  • Receivables Trial Balance (Accounting format)

  • Payables Trial Balance (Accounting format)

The layout of the above reports is the same as that of the corresponding receivables and payables trial balances, but the date and the period that are taken into account are based on the MIS date filled out in the related documents, as in the corresponding Accounting reports on MIS date.

A prerequisite for obtaining the correct results in the above reports, as well as in the corresponding accounting reports, is that the “Recalculate Results on MIS Date” procedure (menu: Tools/ Recalculations) must have previously been executed, through which, accounting entries with the appropriate MIS date are updated. Hence, trade account periodic entries are also updated with the MIS date.

It is kindly reminded that the MIS date taken into account in reports is the default or filled out by the user in the G.L. MIS Date field in the document header.

Fixed assets

Fixed asset Accounting Transfer procedure based on the use of document type TCM has been improved.

TCM - Fixed asset Accounting Transfer

The above changes were necessary after the radical change of Depreciation calculation procedure, which requires tighter monitoring and management of fixed assets. Thus, the above procedure had to be harmonized as in some cases it had problems in calculating acquisitions that had derived from transfer of other acquisitions.

Note that after upgrading to this version, no further action is required to correct the existing registrations, and hereafter, to correctly register new fixed asset accounting transfer.

Changes in detail:

  • The new Acquisition from fixed asset transfer field has been added. The field is updated to classify an acquisition as acquisition from transfer in order to take into account additional parameters for calculating depreciations. The fields are automatically updated when acquisitions are registered via TCM document and it is not recommended to change it.
  • Two new fields have been added to data towards transfer in TCM document lines
    • Tax depreciations start date
    • Book depreciations start date

concerning and updating the new acquisition (from opposite lines). If you use the “Transfer” action that is available when registering fixed asset lines, these fields will automatically be updated as follows:

  • Tax depreciations start date. It is recommended that the last day of calculating tax depreciations of the acquisition towards transfer +1, but only if the value of tax depreciations is also transferred to the fixed asset. Otherwise, it is calculated based on what applies to all the new acquisitions for the tax depreciations start date.
  • Book depreciations start date. It is recommended that the last day of calculating tax depreciations of the acquisition towards transfer +1, but only if the value of book depreciations is transferred, too. Otherwise, it is calculated based on what applies to all the new acquisitions for the book depreciations start date.

If Transfer action is not used, then the fields must be filled out by the user, otherwise they will be updated based on what applies to all new depreciable fixed asset acquisitions.
