New Features & Functionality

New Features & Functionality (Outline)

This document aims to report the new features and extensions of EBS Version 4.8.0.0. First, the newly added functionality and features are briefly listed and, then, a detailed presentation follows. User guidelines and examples are provided where necessary.

  • Redesign of Items control policy parametrization UI form.
  • Unified management of the Outstanding orders for items with and without stock dimensions.

Budget

This version incorporates all the necessary enhancements to make it possible to use the Depreciation and Investment budget types with full parameterization and calculation procedures.

  • Depreciations budget

In the budget sheet type the available dimensions are: Fixed asset and Branch. The available measures are:

  • Tax depreciations
  • Book depreciations (IAS)
  • Alternative Depreciations
  • Number 1…5
  • Auxiliary number 1…10
  • Investments budget

As above, in the budget sheet type the available dimensions are: Fixed asset and Branch. The available measures are:

  • Quantity
  • Cost value
  • Depreciations
  • Cost price (is calculated from the quotient of value / quantity)
  • Number 1…5
  • Auxiliary number 1…10

New compilation tools were also provided for more effective budgeting of depreciation and investment budgets. Thus, it is possible to supplement the amounts based on the depreciation value for the selected period. The depreciation value can be calculated at the time of drawing using the relevant action Estimated depreciations which is available in such budget sheets. The calculation takes into account the depreciation rules -TAX, Book or/and Alternative - given in the relevant fields in each budget line.

For the selected fiscal year, the process calculates the depreciation value, based on the selected depreciation rule for each type of depreciation. Subsequently, an equitable allocation of value is made to the periods. It is highlighted that in cases of fixed assets with multiple acquisitions, the process takes into account the accumulated value.

Especially in the case of an investment budget, it is possible to include fixed assets without acquisitions (new fixed assets) or to include the value of investments relating to a particular period for each asset separately.

ERP-RO01-4.8.0.0-image2.pngAs mentioned above, the cost value of the existing fixed asset will be retrieved from the fixed assets’ acquisition value. On the other hand, the acquisition cost for the new fixed assets must be defined in the field cost value in the budget period of your choice.

When performing the calculation of estimated depreciations on investment budget, it is possible to choose whether the process will be performed for Existing or/and New fixed assets.

ERP-RO01-4.8.0.0-image3.pngPlease notice that is also available the option Show estimated depreciations, in the corresponding action. It presents the cumulative amounts for the existing and new acquisitions per fixed asset.

It is highlighted that in the budget entry, the calculated depreciation values, TAX, Alternative and Book are kept in the Numeric fields 6,7 and 8.

Control policy profile

In this version, the item’s control policy UI form has been redesigned. The main concept of displaying the new form is to organize the options in separate areas based on the function they serve. This makes it easier to locate and understand the purpose of each customization option.

The form is divided horizontally into two areas:

  • The upper area presents the general identification data of the profile (code, description, alternative description)
  • The bottom area is the configuration area consisting of two tab-pages:
  • Items administration
  1. In this area, you may bind or unbind the items. The tab-page Item that use it, presents the already bind to the profile stock items. Use the action Items that use it to unbind one or more item.
  2. In the tab-page Items that do not use it, you may find not only the stock items without control policy, but also the stock items linked to other than the current profile. Use the action Add control policy to selected entries to bind one or more stock item to the current control policy profile.

Both views (scrollers) have a number of criteria that help in items’ selection. Take into account that the criterion “Control policy” criterion enables us to select not only items with no control policy (which is the default option) but also items whit another than the current.

  • Line data

This is the basic configuration area of the control policy profile. In the left section, there is the list of the document profile attributes, while in the right section the configuration options categorized per type of function are presented in distinguishable expanders. Focusing on an entry (attribute) in the left part, the corresponding configuration options are selected as well.

The configuration options have been categorized as follows:

  • General
  • Stock adequacy checks.
  • Serial number administration
  • Lot management
  • Attribute concerning the remaining stock dimensions
  • Related items – automations
  • Item – supplier relation management
  • Marginal values checks
  • Season checks
  • Comments

The new UI form is also available for further configuration, if needed (using the Windows – form designer tool).

Similar to the above mentioned enhancements have been made to the control policy profiles of generic items and fixed assets.

Outstanding orders management

Following the implementation made in version 4.4.0.9, new views (scrollers) have me added for Stock Reservations, Purchase orders, Intra-warehouse transfer Orders and Production Orders. Their main feature is the unified management of the pending for items with and without stock dimensions.

The Expected Orders (detailed) list (menu: Purchases & Procurement/Purchases orders) has been extended to dynamically display the item dimensions, and allow the analytical source control of orders (reservations etc.) from earlier steps of fulfillment process:

Source Analysis

If the source analysis is selected in the new criterion of view, this will result in the implementation of as many lines by order item, as the initial documents from which they have been derived from (new column “Derives from…”). This is useful while inspecting specific preparations of shipments and wishing to get the corresponding initial orders, with their quantities analyzed as planned to be shipped. If the "source analysis" is NOT selected, then the initial order will be displayed in the new column "Derives from…", but if there is more than one, all of them will be displayed, separated by "," (comma separated list), without being extended to an equal number of line items.

Dimension Analysis

ERP-RO01-4.8.0.0-image9.pngIf dimension analysis is selected in the new criterion of view, then the dimension columns will automatically be added to the layout. Additionally, a number of line items that equals the number of item dimension combination values will be displayed.

Otherwise, if (Dimension analysis = No) these lines are grouped by item and the dimension columns will be automatically HIDDEN.

New Trial balances and Registers will take into account this parameter, if these added for dimensions, as we shall realize.

The Stock Reservations (detailed) list (menu: Inventory/Reserved management) is the unified view for the Sales Orders

The Pending movements (detailed) list (menu: Inventory/Stock entries) is the unified view for the Inter-warehouse Orders.

The Pending Orders (detailed) list (menu: Production/Production orders) is the unified view for the Production Orders.

Financials

Planning of payments

In the Planning of payment process, when the selected payment method is In cash the Beneficiary (supplier) bank account is no longer required.

Receipts & Payments

From this version and on, the processes Receipts by list of claims & Payments from liabilities list support the liquidity matchings even if the matching method of the trade account is not defined (not automatic). In these cases, the opening balances are correlated based on FiFo method.

Liquidity accounts

New user defined fields have been added in liquidity account, Comment 1- 3.

Documents

  • The selection dialog of the Serial number (F12) in the document lines has been enriched with the user-defined fields Table 1- 5.
  • The category Exchange rate differences has been added in User privilege profile in documents, (available under the Customization node: “Documents and Series”); in order for someone to be able to define the excess of prohibitions option on locked documents provided the changes do not affect the official values of the document or the liquidity matchings . For example, in an invoice of a closed-period, excess may be allowed to specific users in order for them to change the value of horizontal dimensions or user-defined fields.

Reports

Cash & Bank accounts

In the Registers and Trial Balances of the liquidity accounts (menu: Financials\Cash and Bank Accounts) the Contract has been added as criterion.

Consolidated reports by Dimensions

In the Registers and Trial balances of the consolidated reports (menu: Inventory\Consolidated reports by dimensions) the following improvements have been made.

  • The stock dimensions, Color, Size, Stock Dimension 1 & Stock Dimension 2) have been added as criteria.
  • The option of displaying the code, the description or both of the Stok items dimensions. To define the desirable behavior use the new company parameter in the category Reports

Receivables

In the Registers and Trial Balances of the Receivables, the option of grouping by Group and Category of the trade account is now available.

Grouping in BITs

In the BITs type of Register and Trial balance, the grouping based on the Horizontal dimensions has been enabled.

Dynamic UI Forms

  • ERP-RO01-4.8.0.0-image13.pngIn the dynamic UI forms, the custom option for searching (Shift+F3) has been improved. When the result of the searching is only one value, then this value is automatically selected without opening the value selection dialog. The feature is applied when the following searching properties are enabled.
  • Search replacement
  • Auto-run
  • It is now possible to add automations in a command toolbar on document UI forms. The Automations are available in the action properties panel under the action type Automations.

Automations

The Automation Designer now supports the action Line Packing of the lines items and line item analysis of the documents.

The new action has two execution conditions:

  • CompactLineItem. Assign the value “True” for the packing of line items
  • CompactLineItemAnalysis. Assign the value “True” for the packing of line items analysis.

Stock Valuation

Focusing on optimization of the performance of a Stock Valuation process, a new package of indexes has been created. The usage of those indexes is highly recommended. Especially in cases where there is a very long delay in the execution of this process. In order to apply the changes in the database, execute from SQL Server Management Studio the SQL command, which is available in the file CSIndexes.sql (available in the path: ESConfig\ESDBScripts\Optimizations\Costing\ESCOStockValuation).

Εvent log clearence

The process of Event Log Clearance (menu: Tools & Configuration\User audit trail\Clear event log) has been enhanced with new features. In the new dialog, the following options are available. ERP-RO01-4.8.0.0-image16.png

  1. Clear values of log file
  2. Clear files for all companies

The new features are:

  • Save copy to hard drive. Prior to clearing, existing log entries are stored in a file on the hard dirve of the application server. The file stored in the folder based on system variable (Environment variable) named ESLOG_{company}_{date}_{Time}.log
  • Keep log in days. In this field, you may define the number of the days where the process will keep the entries. Entries previous that number of days will be deleted.
  • Scheduling. The clearance actions can be scheduled based on the selected criteria on the dialog.
