Invoicing and Financial administration

One stop shop - OSS

In OSS, it is now possible to monitor intra-community B2C distance sales, in accordance to everything included in L. 4818/2021 and Α 1242/2021. The above decisions concern the taxable persons (salespersons) that are based on a member state and carry out intra-community distance sales of goods and/or services to non-taxable persons in other member states. When the total amount of such transactions exceeds EUR 10.000 per year, these taxable persons must apply the VAT of the member state of consumption and register themselves in the OSS special VAT scheme.

OSS transaction status

In order to monitor and control OSS transactions, and to receive the data required to submit the relevant status on the OSS platform, OSS transactions - Summary statement was created (menu: Accounting / Period completion processes / Intrastat &Vies).

The printout displays cumulatively by EU country the total net values and VAT values of sale of goods and services, broken down by VAT rate, normal and reduced and includes all the information required to complete the relevant platform for the OSS of MyData.

It should be noted that up to two categories of VAT per country are supported, one for a standard rate and one for a reduced rate, as provided for in the relevant submission instructions. If the incorrect configuration produces results corresponding to more than 2 VAT categories, this is marked on the printout with a special comment on the country record for which the problem occurred:

VAT calculation - Configuration

The VAT value should be calculated on the basis of the VAT rates in force in the Member State of the goods purchaser or a customer recipient. It is therefore necessary to do the following, in terms of the application’s configuration:

  • VAT Categories. The various VAT rates per Country (EU) of the Recipient will be introduced by creating NEW VAT categories, so that their posting is also parametric. In the VAT categories table, the “Implementation country” must be entered.

  • Types- Services. No change is required in the items: All items (and possible autonomous special accounts) involved in Invoicing have a specific VAT category and this will continue to be the case. It is the same as for domestic transactions and all other transactions not covered by this instruction.

    The relationship between these categories of VAT and the new ones to be created (to describe the VAT rates applicable per country in the European Union) should be declared in the new VAT Categories Mappings table.

    Document types. Finally, the document types used for these transactions should be appropriately classified, in order to activate the new functionality. This classification is made in the Transaction types table.

    There, the fields must be appropriately filled-in to calculate the VAT correctly:

  1. Calculate VAT per country If enabled, then the system will replace, in the document lines, the VAT category in the lines of items and special accounts (that gets its value from the default one in the “VAT Category” tab), by referring to the VAT Categories Mappings for the specific country of the Invoicing Address (concerns the LOCATION of the recipient, according to the directive). So, for example:

Goods-Services VAT categories:

  • C (Standard 24%)
  • C-FR (France 20%)
  • C-SP (Spain 21%)

VAT categories mappings:

  • C (Standard 24%) for FR or C-FR (France 20%)
  • C (Standard 24%) for SP or C-SP (Spain 21%)

More specifically:

The Country of the Customer’s Address automatically changes the VAT category of the lines, based on the VAT categories mapping.

  1. Affects the VAT regime If enabled, then regardless of how the “VAT regime” field receives a default price, in the document header (on Sales by the trader and their Address, on Purchases by the company branch, except for exempted creditors) the system will replace the default value with the one specified in the existing transaction type (in the next “VAT Regime” field).

  2. VAT Regime Used if the previous field has been enabled.

This functionality is necessary when the sale is digital e.g. from the Internet and the VAT is NOT differentiated, as are the retail prices therefore, it depends on the Address specified by the customer. It is therefore possible to define an appropriate “transaction type” and always apply the desired “VAT Regime”.

The transaction type in the header of the document is by default filled-in by the transaction type entered in the document series, otherwise (if not specified) by the document type.

  • Company parameters. On the following new company parameter:

Miscellaneous

Retail – Club cards

New company parameter added: Enable person change based on club card number in the Contact administration category, when activated, then when entering the club card number in the customer info, and if another trade account with the same club card number is found, the default is to replace the person in the trade account with the person of the trade account found with the same card number.

Item dimensions

In all item dimensions, color, size, dimension 1 and 2, an ascending numbering “SEQ.NO” field has been added, where a dimension priority number can be entered, that’s general and independent of the dimension charts in which the dimension participates. It can be used to sort on prints, and where it is necessary to make the selection of dimensions easier. Buttons have also been added to the dimension management screens, in order to make it easier to define the SEQ.NO field.

“About the application" screen

The “About the application” screen was rebuilt with a more functional and complete appearance. The information and procedures included were kept and grouped together into three separate pages: Version, System, and Communication.

Depending on the Login language the screen appears translated, in order to be more usable for all Entersoft products.

OLAP | Changes & Improvements

Mass show/hide dimensions

It is now possible to mass show and hide dimensions in OLAPs, either in the Data area, or in the Line, Column, or Filter area. The new feature can be enabled by right-clicking anywhere on the OLAP, on the selection Field\Mass show-hide fields by area.

Display Layout title when exporting to Excel

When exporting an OLAP to Excel, and if a Layout has been selected, the Layout title is displayed, otherwise the OLAP title.

Emphasize on data when exporting to Excel

A new feature was added for when an OLAP is being exported to excel to emphasize data. The new feature is only available for exporting in xls and xlsx and only if the OLAP contains a pivot grid.

In this mode, more emphasis is placed on the data, not on the layout and the pivot grid colors. This allows export without cell merging at a higher speed and less memory consumption. At the same time, the user can expand / collapse the fields from within excel.

The criteria, title, date and Company all appear in the left side of Excel, while no field titles appear in the row and column area, instead they appear grouped together in the left side of Excel with the "Fields in rows" and "Fields in columns” indications.
