New Features & Functionality (Outline)

This document aims to report the new features and extensions of Entersoft Expert 4.0.24.3. First, the newly added functionality and features are briefly listed and, then, a detailed presentation follows. User guidelines and examples are provided where necessary.

  • Reversed deprecations are henceforth included in the Annual depreciations views.

Planning of payments

An alternative method for payment planning is now available. This procedure can be applied to companies which need a lax management of payment planning by using the document OPT – Payment Order and the proposed transition to the Payment document (201. OPT=>DPF).

Payment Order

The OPT document is used for the registration of planned payments to suppliers. The document lines can be associated to any payment method, while the default is the method defined on the supplier site.

  • Payment method: Cheques. The cheques’ desirable Expiry date must be completed, as well as the Bank account through which the payment will occur to the “From Bank account” column.
  • Payment method: Fund transfer/Cash.
    • Select, from the available Bank (liquidity) accounts of the company, the one FROM which the amount due will be transferred.
    • Select from the Bank accounts defined on the supplier, the one TO which the amount due will be transferred. The supplier’s “main” Bank account is the default one. If the related company’s bank account is also defined there, then this is the default Withdrawal account (the column “From Bank account”). The supplier’s bank accounts can be found on the suppliers’ administration UI Form, at the “Financial data” tab-page:

If the transaction is under the “VAT on Payment” regime, then that info should also be defined.

This request is subject to various checks and can be approved or be rejected. The cheque’s body is created only for those payment orders that are converted to actual payments (through payment documents). Therefore, the current configuration of the OPT document does not include “Note lines”.

Payments

The process of issuing Payments documents is executed through the automation Create Payment Documents which is available on the view (scroller) Supplier Payments, under the menu option: Financials \ Collections & Payments.

EXP-RO01-4.0.24.3-image5.pngFor each payment order, the calculation process issues the corresponding payment document(s), depending on the grouping of the payment methods of the order. If there are coexisting lines with both payment methods, then the process will create two payment documents; one for the Cash/Fund transfer type of lines and another one for Cheques. In that case the process’ UI is extended to include data entry fields with default options for both cases. In case of payments for fixed assets; acquisitions, the user may choose the alternative set of document types (DPVF/DPEF)

The process displays each document and the related info to the user and the payment document is issued after user’s acceptance. Note that, for the transactions under the “VAT on Payment” regime, the process ‘waits’ for the user to select the apposite claims (unpaid documents) and it proceeds after user’s actions.

Configuration

The following configuration elements must be taking into account:

  • The new field property profile 2-PaymentOrder must be imported (Entersoft.xml).
  • The document type OPT must be re-imported through master-config process (Entersoft.xml).
  • The default document types are defined in the following company parameters: VAT on Payments - Payment Document Type & VAT on Payments - Document Type for delivering cheque(s) to a Supplier
  • The default note type is defined in the company parameter: Payment planning process =>04. Note type for automatic creation of cheques.
  • The supplier’s bank account is kept on the liqunidity line’s field based on the following company parameter : Payment planning process =>05. Field to save supplier account
  • The creation of the cheques requires the automatic attribution of cheque number.

Payment down payments

The administration process for customer advance payments is now extended to support the transactions under the “VAT on Payment” regime.

The process remains as it is for the transactions which are not under the VAT on Payment regime. However for transactions under the specific vat regime, an additional final step is required so that the invoiced advance payment amount will be cleared for VAT purposes.

The automation VAT Reconciliation document is now available on the advanced payment invoice (FPA). Consequently, on issuing, the user may also create the VAT Reconciliation document (VTP).

The information of Reversed deprecations is now available in the views of Annual depreciations (accounting, alternative & IAS).
