Invoicing and Financial administration

Integration with Credit Cards – Smart Pay

In this version, the integration feature with Smart Pay credit card terminals (POS) has been enriched.

The following transactions are supported:

  • Payment via credit card
  • Payment via credit card, with installments
  • Cancel transaction (VOID)

Payment using loyalties is not supported.

Connection requirements

  1. In order to connect to the credit card terminal (POS), it is necessary to create folder: ESSmartPay and sub-folder: Config in the workstation.

In this area, C\ESSmartPay\Config, the XML file ESConfig must be installed, where the connection info to the following structure will be specified.

  1. From application folder \ESPOS\ESSmartPay\v1.19, the files are copied to the folder created in terminal C\ESSmartPay\Config.

Mode of Operation

Using credit cards is common within the application, but in case of SMART PAY terminal use, the following points should be taken into consideration. 

  • In the new general parameter Credit card transactions: POS type the appropriate value must be specified.

  • In the currency table, the ISO code RON value must be entered in the base currency.

Fiscal Year Closing

Special Accounts - Opening Entries

Opening entries for special accounts balances by trade account is now possible. Thus, for the special accounts that inventory by trade account is selected, the balance of the special account, debit or credit, will be calculated by grouping by trade account. Of course, opening entries for special accounts with an entry, debit or credit, is still possible on total of the special account.

To activate inventory by trade account, select the “Inventory by trade account” value in the To inventory field of the special accounts data. Note here that the "To inventory" field has changed form and the selection is now done using a value selection list.

Fixed assets inventory

The possibility of fixed assets inventory without stock on hand is now supported upon fiscal year closing. Until now, the fiscal year closing exempted the transfer to new fiscal use of fixed assets without any stock quantity.

The feature is enabled using the relevant company parameter Transfer asset values with zero quantity, found under Periodics/Fiscal year closing

Invoicing policy

A new company parameter was added to the “Document management” area:

A designation field that determines whether the Item participates in any Invoicing policies condition

It is recommended to use this parameter in cases where only a limited number of installation items are involved in invoicing policies. Reserve an item designation field that you will set in the parameter and only select the items that participate in quotations. The result of this set-up is that the invoicing policy is only activated when the document includes items with the selected flag active, improving the document saving speed .

Retail – Use of Pole display

In the automations, it is now possible to trigger the refresh of the content displayed by Pole display. This can be very useful to automation manufacturers, since usually after a automation is performed, the total document value is changed, but the message that in the pole display displays the previous total.

This feature is provided through a special new action of the Refresh Pole Display automations that you can choose to execute, for example, after assigning values. The action will display the document's new amount payable, as formed after the automation has been executed.

Login screen

Spring is here, so from this version and on, the default login screen is a picture of a flowery field!

Retail login screen

When logging into ESRetail, on the login screen, in the dropdown of fields:

  • Ddatabase
  • Company
  • Branch

The description is now also displayed in addition to the code and description – just like in the ESMainApp - in order to make it easier for the user to see where exactly they’re logging into.

Message displays

A horizontal extension has been made so that dialogs that display warning, confirmation, information, prohibition, etc., expand depending on the message size. If the message is relatively small, it is shown in the size they were up until now. Otherwise, they will be increased in size to accommodate the message.

SMS connection settings

The ability to show/hide password has been added to the SMS connection info dialog (SMS Management > Connection Settings).

Emi designer screen

Area and file name were added to the emi designer page as information. The feature already existed in automations and helps locate the file more easily.

Database management screen

The following improvements were made to the database management screen (Development & customization tools > System - Database Administration) in the set password area: a) hide password when typing, and b) the option to show/hide password has been added.

Navigation Frame | Alternative way to display screen bookmarks

A new control named NavigationFrame was added to the dynamic form designer as an alternative way to display the pages (tabs) of a form. The way of use is exactly the same as in tab management.

The new feature is already implemented in series 5, on the scroller designer screen:

To add the new feature to a form, select the "New Navigation Frame" link (corresponding to "New tab").

Shortcut bar in Retail

Restored the possibility to display a shortcut bar in its menu that existed in series 4 of Retail. It is now possible to set shortcut bar file (.jsn) to the parameter ES_RIBBON in file ES00RetailParams.xml

EXP-RO01-5.1.0.0-image15.pngVery often, in installations, there is a very large number of Groups in Shortcut Bars. Then, there is no way to add a New Group, since the relevant menu to create a new group is displayed by right-clicking only on an empty space on the shortcut bar.

This version has merged all the features so that right-clicking on a group displays all actions that can be executed at Group level, as well as all Shortcuts actions.

This makes it easy to create a new Group in any case.

Connected users

The Connected users screen display is now improved and it is possible for the users to save the layout. In particular, the horizontal toolbar and statistics display on the footer of the screen has been changed and the option to save formatting was added.

Display time-related fields in an OLAP

In an OLAP converted from a cube and containing a Date field, the possibility to display time-related fields (sub-categories) of the date i.e. Week, 10-day period, Month, Quarter, etc. was added.

To display them anywhere in an olap, right-click on Field > Show/Hide time-related fields.

The dialog has the following functionality:

  • Fields that already exist and are visible appear as selected
  • By clicking on Accept, it makes the selected fields visible in the olap
  • By unchecking a field that already exists, then it simply hides behind the olap

Change of mouse click behavior in numerical fields on grids

In all application grids, in the numeric fields, such as quantities, prices, discounts, values, the whole cell is now automatically selected by mouse clicking, so that the user can directly write the desired number by clicking on the suggested value.

So far, by mouse clicking the focus would go to the end of the number, that would result in the number entered by the user to be added to the right of the suggested value. This, in cases such as intensive invoicing with a need for high typing speed, led to errors.

Improvement of the overview screen

Improvements were made to the Overview screen. This screen can be accessed in various parts of the application. An example is found in the list of Sales where you can see some key customer information by right-clicking on the Trade Account column by selecting Overview.

Some of the changes are:

  • the icon for the Process action has been changed
  • improvements were made in the appearance and alignment of information and the distances in between
  • larger letters in the titles of the displayed fields
  • a correction was made to the Process action, which would previously open in a new tab. This was not visible to the user and is now displayed above the overview screen
  • added a tooltip to icons

Improvement and Update of the Outlook Add-in

In this version, a drastic change was made to the Outlook add-in in order to update it, according to the latest Outlook version, to fix some issues that arose due to its outdated technology and to improve its use at multiple levels.

Installation

The add-in install/uninstall processes can still be executed through EBS, with the “Outlook Integration” option, as follows:

  • If an add-in is found installed on the system, confirmation to uninstall will be requested
  • If no add-in is found installed on the system, confirmation to install will be requested
  • If an add-in is found that has been installed with msi, confirmation to re-install will be requested (see migration)

Migration

Systems that have an add-in installed, using msi, should proceed with uninstalling msi and re-installing the add-in.

The migration can be invoked in the following ways:

  1. Via the “Outlook Integration” option, through the EBS main menu.
  2. When signing in to Outlook, the user is informed of the need to re-install the add-in and consent is requested
  3. Via the command line (see ESOutlookAddin.Cli.exe)

In any of the above cases, the process is routed to run through ESOutlookAddin.Cli.exe which requires administrative rights to run.

The migration process performs the following actions:

  1. Maintains backup files to be protected against the uninstaller
  2. Invoked the corresponding ESOtlAddinSetup.msi / ESOtlAddinSetup64bit.msi from the folder in which the installation took place
  3. It will clear obsolete files that are no longer included in the product
  4. Resets the backup files
  5. Installs the new add-in for the current user
ESOutlookAddin.Cli.exe

It’s the Outlook add-in command-line interface. This allows the admins to route specific actions that they want to execute at terminals locally, remotely, or scheduled. In addition, it provides commands – solutions – automation to problems that occur from time to time and require manual intervention in a registry or other parts of the system. This interface constitutes a first basis which, over time, will be enriched with various commands – scenarios – solutions.

Email | list of recipients

The recipient selection form of emails sent from within the application has been updated. The recipient selection form was redesigned with the scroller selector being converted into a list and moved to the top of the screen. The form is now dialog with accept and cancel buttons, following the 2020 series styling.

CRM Menu

EXP-RO01-5.1.0.0-image21.pngThe CRM menu is now available in the Outlook navigation bar. The “Navigation Options” allows the navigation bar to be classified so that the CRM menu is more readily accessible.

Docker/Collaboration

A new ESDocker folder has been added to the application folder. There are .yaml files that can be used as templates for the docker containers. These templates should be copied to another location, modified as necessary and the containers should start from there. Alternatively, they can be copied to the ESNoSync folder so that they do not synchronize with the terminals, because they may contain sensitive information.
