The Entersoft Cloud

Entersoft cloud store has been available to all Entersoft clients providing an extensive variety of applications that enhance their existing Entersoft installations and solutions with new innovative functionality.

In 2023, the 3.1.0 release of Entersoft Cloud store was announced, that extended the provided Cloud Software as a Service applications to new customers, not requiring an active ERP/CRM or WMS contract. These extensions were necessary to cover the requirements of the provisioned Entersoft Cloud SaaS applications, such as WorkLife and QuickBiz. Detailed documentation on the 3.1.0 release features specialized on Cloud SaaS applications can be found here.

This guide provides information on how to setup and manage your Entersoft Cloud, your Applications and users related to them, concerning Cloud applications that are provided in a SaaS mode and require a subscription to be made from within Entersoft cloud and an active New Versions Contract or an active product SaaS agreement for your main Entersoft Solution/installation.

The extensions of the 3.1.0 release affect the existing registration and subscription processes. The purpose of this document is to provide up-to-date guidelines where necessary.

Create new account

Login to https://cloud.entersoft.gr and choose Register to create an administrator account for your cloud subscription. This user will be able to change the IP / port to connect to the Entersoft Application server within the company, purchase applications, create back-office users, and activate users in applications.

  • Email = the email address used for registration. You can use any email you have access to.
  • Password = the password should be at least 8 chars long, with at least one lowercase char, one uppercase char, one number and one of the following symbols (!,@,#,$,&,*).
  • Confirm Password = re-enter the password
  • VAT = provide the VAT number of your company (legal entity)
To complete the registration, the administrator must click on the link he/she will receive in his/her email from cloud.entersoft.gr.

Create & manage cloud subscription

After the verification of the email account, you will be able to login with the registered email and password. A subscription is created automatically with the following details:

  • Code = the provided registration email account without the symbol @ or .
  • Password = subscription code (automatically produced by the system)
  • VAT = the VAT given during the registration of the account
  • Company name = auto filled when the VAT is provided

You can manage your subscription settings in the relevant choice as shown below:

For all cloud store subscriptions concerning Cloud applications that require an ERP/Expert/CRM/WMS active contract it is mandatory to fill in the Main Serial Number in the Customer Serial Number field.

You can create as many subscriptions as you wish under the same Cloud registration account, for example to handle a group of companies with several VATs. To create a new subscription. select My subscription from the drop-down menu of your account and then select Create New Subscription.

Subscription ID and password are freely defined by the user (strong password is required).

  • Company Name = It will be used as your company name

  • Subscription ID = this will be a subscription name related to the Company or Organization and must be unique if multiple subscriptions are defined

  • Customer VAT number = the VAT(TRN) number

  • Password = a password for this subscription

  • Confirm Password = re-enter the password

  • Owner name and phone number = optional however nice to have

  • The information regarding the Name of the company & the Serial number is shown Info button of your EBS application.

Create a new connection

At this stage you should establish the communication of cloud.entersoft.gr with your Entersoft application server.

  1. Select Add connection on the subscription details page:

  1. Provide an ID for the connection (that makes sense when selected), the Database ID of your EBS installation, the Company ID as well as the external IP address of your EBS Application Server and the port that it can be accessed.

Please make sure that your firewall / routers allow access outside the client network and open the port that the Entersoft application server listens to and serves in the following list of Microsoft Azure external IPs:

  1. Select TEST CONNECTION to test your established connection. This is not a mandatory step; however, it is recommended to test the connection before proceeding with the creation of endpoint tokens. You should first create a backoffice user with whom the test will be performed. It is highly recommended to create a dedicated user (other than admin or common users) to establish connections with the cloud store. The backoffice user must be active, with the appropriate of access to the desired company and branch and in the field Source of access you should enable WebApi.

  • Subscription ID = the subscription code
  • Subscription Password = the subscription password (if forgotten, change the subscription password through the subscription settings)
  • Backoffice User = the BackOffice user with WebApi rights
  • Password = the password with which the user logs in to the EBS application
  • Bridge ID = the name of the connection that was made after we add the subscription
  • Branch ID = the branch to which we want to connect (the user should have access to the given branch and company)

Add/Activate subscription users

Entersoft Cloud Subscription-image13.jpegIn order to login to the Cloud application you should add and activate the EBS back-office users in your subscription. In the subscription details page, select the tab Users and then select ADD USER to add a new user or activate/deactivate an existing user.

Fill in the User ID of the user as in EBS and the corresponding email address.

The user will receive an email to which he/she must click “Confirm account”.

Users who have accepted the Invitation are shown with the Status “VERIFIED”, while for those who have not, a

warning appears. There is an option to send the invitation email again.

Add applications

You can add applications from My subscription details page, by selecting the tab My Apps and then Add App.

For each application a brief description as well as information regarding indicative SaaS prices per year are shown.

In VIEW DETAILS you have access to information regarding price per year and per user as well as a detailed description and feature list (if any).

Choose GET IT to proceed with the purchase. If the application belongs to a family of products, then choose the appropriate Edition in the next step.

Select the plan (3, 6, 12 months plan is the standard offer however it may vary based on the chosen application) as well as the number of users you would like to purchase.

In the next page the actual price is shown based on the commercial policy. Accept the terms and conditions to proceed.

In the next page choose one of the provided payment methods. Typically, three methods of payment are provided, although this may differ based on the purchased application and the relevant Entersoft commercial policy.

It is recommended to choose either card payment or IRIS payment, since the activation and the issuing of the invoice is automatic without human intervention.

If for any reason you select the Pay later with RF Payment as the payment method then you should use the RF Code that is generated by the system and is shown on the next page. This method does not ensure automatic activation of the application; therefore, you might wait for one day or more in order to use your purchased application.

Bank deposits without RF Codes are no longer accepted.

Renew / buy additional users / upgrade

You can Get More Users, Upgrade (if the application belongs to a family of apps) or Renew the duration of your SaaS contract at any point of time.

To get more users, enter the number of end users, and then proceed to the check out. You can add as many users as you like as long as you do not exceed the maximum number of users allowed.

Login end user in the application

In the Overview of each application you can see the web address where the activated users can login.

In the User field the user can connect:

  • either with his email and the EBS user code
  • either with SubscriptionID/UserID and the EBS user code

  • User ID = the SubscriptionID/User name from EBS. Example: roservices/esmaster
  • Password = the password with which the user logs in to the EBS application
  • Company ID = the name of the established connection, i.e. the Bridge ID. In our example is Demo_002
  • Branch ID = the branch to which you want to connect
